About the Client

Orbico is dedicated to offering U.S. citizens affordable and high-quality health insurance options. Orbico helps its customers by streamlining the process of comparing insurance plans, ensuring they can achieve the ideal balance between coverage and cost.

The Challenge

Orbico reached out to us with a clear, yet crucial challenge. Their current insurance workflows involved manually entering the same data into multiple systems, including Health Sherpa—one of the largest ACA quoting and enrollment platforms for agents and agencies. This led to repetitive, time-consuming tasks as staff were required to transfer data between systems multiple times.

Although Orbico initially attempted to automate some processes internally using tools like Zapier, it became evident that a more robust automation solution was necessary to eliminate inefficiencies and improve their workflows.

The Solution

After an initial consultation, we crafted a tailored automation roadmap to address Orbico’s unique needs. We selected UiPath as our automation platform, leveraging its extensive library of pre-built applications to quickly overcome the challenges Orbico was facing.

Throughout the project, we implemented several key automation processes:

Process 1: Automating Patient Data Entry

One of Orbico's primary challenges was the manual transfer of patient data between multiple systems. To simplify this, we developed a custom front-end form using UiPath Apps. The form incorporated rules and workflows, allowing employees to input and validate data efficiently in a single step.

Once the patient data was entered, it was automatically synchronized across all of Orbico’s systems, including Health Sherpa and One Link.

Process 2: Real-Time Insurance Policy Updates

Orbico struggled with Health Sherpa’s lack of real-time policy updates, which required staff to manually refresh policies every day to capture changes like cancellations, terminations, or approaching deadlines.

We addressed this by building a bot that automatically refreshes policy data every morning, ensuring updates are captured in the system, handling canceled/terminated policies, and ensuring deadlines are met.

Process 3: Automating Income Declaration Generation, Verification, and Signing

A crucial step in Orbico’s workflow was generating and signing client income declarations.

After patient data was entered using the form from Process 1, the bot was triggered to handle the entire income verification process. It generated the income declaration, uploaded it to a Google Drive folder, and a second bot retrieved the document. This bot signed the document using the SignNow app and then uploaded it to the patient’s profile in Health Sherpa.

The Outcome

Through our partnership with Orbico, we successfully implemented Robotic Process Automation (RPA) bots that revolutionized the company’s operations. By automating key workflows within Health Sherpa, we enhanced the software’s flexibility and relieved Orbico employees from the burden of repetitive tasks.

This has empowered employees to dedicate more time to impactful work, including delivering outstanding customer service.
